Wedding transport is a timing exercise. Here is the order most couples find works.
Start from the ceremony and work backwards
Fix the ceremony time. Subtract the drive. Subtract fifteen minutes of contingency. That is when cars arrive at the hotel, not when they leave it. Everything else builds around that anchor.
The morning
Hair and makeup overrun almost every time. If the wedding party is spread across two hotels, assign a vehicle to each rather than one doing a circuit, which turns a ten-minute delay into a forty-minute one.
Guests
A Sprinter or mini coach on a loop beats individual cars. Plan two runs before the ceremony and a staggered return afterwards, with a late departure for guests who stay to the end. Post the times where guests will actually see them.
Photographs between venues
If the couple is going somewhere for photographs, that vehicle is committed for the whole gap. Book it for the duration rather than as two transfers.
The getaway car
Book it later than you think. Receptions overrun, and a car waiting quietly is a smaller problem than a scramble at midnight.
One week out
Reconfirm numbers, timings and contacts. On the day, one person should hold the plan and know where each vehicle is, which is the role we take if you want it.
